Executive Marketing Assistant Wanted for High-Growth Solo CMO Firm

Wanted: An organized, detail-loving, client-savvy Executive Marketing Assistant who can help us stay on track, elevate client communications, support light marketing tasks, and ensure nothing falls through the cracks. You’ll be working directly with a fast-moving CMO and immersed in exciting client projects, marketing work, and internal systems.

Kaizen Collective offers Fractional CMO services for B2B service-based businesses, providing top-tier strategy and marketing leadership. We are a lean, powerful team with bold goals and a high standard for quality, communication, and client results.

Summary

  • Part-time contractor (20 hours per week) with opportunity to grow to full-time

  • Work-from-home role, but must be available Monday through Thursday from 8 a.m. to 1 p.m. Mountain Time

  • Heavy collaboration via Slack and Zoom

  • You will work directly with the CMO and often on client-facing tasks

As an Executive Marketing Assistant, You Will Be Doing the Following

Direct Support to the CMO

  • Assist with communication, organization, and preparation for client meetings

  • Serve as the right hand to the CMO, keeping projects moving and priorities clear

Client Communication Management

  • Monitor Slack, email, and client messages to identify key conversations

  • Flag priorities for the CMO

  • Communicate directly with clients as needed

Project Oversight

  • Conduct daily check-ins across active clients

  • Track what is on or off schedule and flag blockers 

  • Problem-solve and escalate as needed

Meeting Support

  • Prepare agendas at least one week ahead of meetings

  • Pull relevant data and discussion points

  • Attend client meetings to take notes, record, and use AI to generate summaries

  • Write and send post-meeting summaries

Documentation and Coordination

  • Gather key materials from clients to support deliverables

  • Use templates to create client-facing documents

  • Create new templates and SOPs to improve systems

  • Document repeatable internal processes

Light Marketing Tasks

  • Follow SOPs written by the CMO to complete tasks such as:

  • Drafting email outlines

  • Drafting social media calendars and content

  • Light copywriting and content prep for internal or client work

  • Organized: you love checklists, systems, and keeping everyone on schedule

  • Tech-comfortable: you can navigate Slack, Zoom, Notion, Google Drive, and AI tools

Requirements

  • 20 hours per week to start, with potential for growth

  • Must be available 8 a.m. to 1 p.m. Mountain Time, Monday through Thursday

  • Must attend Slack huddles and Zoom calls as needed

  • You must personally do the work; no outsourcing

  • This role requires focus and professionalism

  • Must be self-directed, reliable, and motivated to do high-quality work

What Is the Pay Range

  • Starting at $20 to $30 per hour, depending on experience

  • Quarterly performance incentives are available after 6 months based on results
